Enable recorded product costs
Start on a staging copy of your store. Free and Pro use the same calculation and the costs recorded on each order.
- Install and activate OrderWorth Free 1.9.0 alongside WooCommerce. Open WooCommerce → OrderWorth → Quickstart.
- In WooCommerce → Settings → Advanced → Features, enable Cost of Goods Sold and save.
- Return to Setup & import. Check that native costs are enabled and the store currency is correct.

Add a few product costs
Use known per-unit costs first. Check a simple product and, if you sell variations, a variation too.
- Edit a simple product and enter its Cost of Goods in Product data → General. For a variable product, check the parent default and each variation override.
- For a manual CSV import, open Setup & import. Supply product_id,cost or sku,cost in the store currency. Files can be up to 8 MiB, or the lower server upload limit; there is no 100-row cut-off.
- Wait for every row to validate, review all preview pages, then explicitly confirm the import. Larger files continue in small requests. Existing costs are protected unless you allow replacement. Review every conflict after importing.

Confirm your expenses
Tell OrderWorth what you pay in payment fees, shipping and packaging. Unknown expenses must not silently become zero.
- Open Cost assumptions. Enter the percentage and fixed payment fee, your shipping expense and packaging expense in the store currency.
- Set a target margin for the attention list. Add payment-method or shipping-method rules if different methods need different assumptions; these are included in Free.
- Check each value, including intentional zeros, tick the confirmation box and save. Reconcile one known order against your own records.

Run your first report
Start with a short date range, then read the count of included orders before interpreting profit.
- Open the attention list, choose From and To, and select Run report. Free includes recent and older dates. The starting range is the last 30 calendar days; each period can span up to 3,660 calendar days, including both end dates.
- Wait for the complete report. Larger periods, including more than 5,000 orders on one day, continue through bounded selection and verification, then calculate 50 orders per request. Keep this page open. Resume a paused large scan within its original one-hour window.
- Check Orders included. If 18 of 20 are included, the profit figure covers those 18 only. Select an exclusion reason to see the affected orders, or use Review missing data. Clear the reason filter to return to the full list.

Review a missing cost or refund
Work through missing information before treating the included-order subtotal as a whole-period estimate.
- Choose Missing data / review or select a specific exclusion reason, then open an order. Read its issues and whether expenses use recorded or current assumptions. Larger reports open the ordinary order-review page.
- Enter confirmed total order costs where needed. A blank field uses the recorded/default value; an explicit 0 confirms a genuine zero.
- For a refund, confirm recovered product cost and retained payment, shipping and packaging expenses. Save this review or Save & review next, then run a fresh report.

Install Pro and register updates
OrderWorth Pro 1.9.7 requires OrderWorth Free 1.9.7 or later. Install Free first, then Pro, and keep both active.
- After a verified purchase, download the Pro ZIP from My purchase. In WordPress → Plugins → Add New Plugin → Upload Plugin, install and activate it.
- Open License & updates in OrderWorth. Read the data-sharing note, then register your purchase key for this site's update access.
- For an update, back up first and replace each installed OrderWorth edition with its matching current ZIP. Keep only one active copy of each edition and run a fresh report afterward.
- Open Exchange Rates for historical foreign orders. Backfill the required dates, inspect exclusions, and supply a manual historical rate only when you can verify it. Valid rates are locked. Fixed costs stay in base currency.
- Open Workflows to choose a task: investigate findings, explain a change, keep costs current or complete a period review. Opening a workflow never enables schedules or email.

Understand a profit change
Compare equal-length periods and see how the arithmetic behind estimated profit changed.
- Both editions can report on older dates. In Pro, choose a date range, select Compare previous period and run the report. The earlier period has the same number of calendar days.
- Review the included-order counts for both periods. Resolve missing data and rerun before interpreting a change.
- Read the profit-change drivers: revenue before refunds, refunds, product costs after recovery, payment, shipping, packaging, fulfilment and return expenses. Positive effects increase the estimate; negative effects reduce it.
- Manual reports in both editions continue beyond 5,000 orders while the page stays open, with the original one-hour expiry. For collection that continues after closing the page, use Pro Background reports: up to 100,000 orders per period, 24-hour processing, and storage/hosting safeguards. A working Action Scheduler or WP-Cron is required.
- For custom dates, year-over-year comparisons or exact payment/shipping method, country and coupon filters, use Advanced reports. Save up to 20 private definitions to reuse or select in a schedule.
- After a complete report, use Model a margin decision to illustrate product-cost, discount or shipping changes on covered orders. Quantities, order mix and other expense components stay fixed; no prices or costs are written.
- Add complete-report findings to your private review queue. Acknowledge or snooze with a reason after reviewing the issue; these notes never make an excluded order eligible.

Read product, category and trend estimates
Use Products & variations to see how eligible orders contribute to estimated product profit.
- Run a complete report, then read Products & variations and Categories. Switch between weekly and monthly trends; the chart has the same figures as the table.
- Review refund orders in Returns review before using new product allocations. Confirm each mapped line’s recovered stock cost and any return expenses. Unmapped or ambiguous quantities remain for individual review; a review does not adjust stock.
- Read original, returned and net units together with recovered COGS and allocated retained fees. Current category attribution chooses the lowest category ID when several apply. Deleted or unsupported products require review and exclusion.

Save a report you repeat
A preset saves your date choices, not an old profit number.
- Open My saved reports on the attention-list screen. Name the report and choose fixed dates or a rolling 1–365 days.
- Choose whether to compare the previous period, then save. You can keep up to 10 presets in your own WordPress account.
- Next time, select the preset, load its dates and run a fresh report. Delete a preset when you no longer need it.
- Advanced reports separately saves filters and comparison choices, up to 20 definitions per account. Existing date presets remain unchanged.

Choose optional scheduled summaries
Keep a recent aggregate summary in WordPress. Scheduling and email are off until you explicitly enable them.
- Open Scheduled summaries. Choose Daily for yesterday or Weekly for the last seven completed calendar days.
- Leave email off for local summaries only. If you want email, check the option deliberately and verify your WordPress profile address before saving.
- Return to check progress and the latest completed summaries. Turn the schedule Off to stop queued work; the latest 10 completed summaries remain until cleared.
- Check Summary status and the last checkpoint. The schedule owner can resume saved progress, request a fresh summary or cancel pending work. Use Off to stop future collections; check your mail service before retrying an uncertain email outcome.

Schedule complete packs and alerts
Keep independent daily, weekly and monthly report schedules. New schedules and notification email start off.
- Open Scheduled reports & alerts. Choose daily for yesterday, weekly for the previous Monday–Sunday, or monthly for the previous calendar month in the shop timezone. Optional comparison uses the preceding calendar period. Add independent named schedules: up to eight per owner and 32 per site. Choose a saved filter definition and prior-period or year-over-year comparison.
- Choose loss-order, low-margin, profit-decline, missing-data coverage or failed-report alerts and their thresholds. Margin and decline need complete cost coverage; previous profit must be positive for decline.
- Leave email off to keep results local. Separately opt into email if wanted, and optionally request a notice for every completed pack. Messages go only to your current WordPress account email through the site’s mail service, with period/status/alert information and a sign-in link; no report attachment or customer contacts.
- After the next period closes, return to the schedule page for status, alerts and authenticated complete-pack downloads. WP-Cron can run late; only the latest closed period is queued after a delay, without backfilling missed periods.
- Turn email off to stop notifications, or choose Off / pause to stop collection. Saving changes revokes unfinished old work. Re-enable explicitly after plugin deactivation.
- Optionally enable the decline guard to require enough covered orders in both periods and limit the gap between their included shares. Suppressed declines show a reason. Existing schedules keep this guard off until explicitly changed.
- For a recurring review, freeze a completed background report and open Period review checklist. Record the five manual checks against that revision. Completing a checklist does not certify accounts or extend report retention.

Review and repeat supplier cost imports
Map and review supplier costs before changing current native WooCommerce COGS. Historical order costs stay unchanged.
- Open Bulk costs and upload a UTF-8 comma CSV, up to 10,000 rows / 8 MiB. Map unique headers to product ID and/or SKU, cost, and optional currency. Existing simple products and variations are supported.
- When both ID and SKU are supplied, they must identify the same product. Costs must already be in the captured store currency, with up to four decimals. Choose replacement of existing costs and intentional zero separately if needed.
- Validate every row. Review suggested columns and flags for unit/pack/total basis, assumed currency, zero costs and changes of at least 50%. Flagged files require a recorded supplier-review approval, then a separate apply confirmation. Invalid or ambiguous rows still block the whole import.
- After validation, explicitly confirm background apply. You can close the page while Action Scheduler or WP-Cron continues bounded batches. Reopen Bulk costs for completion status; pause/resume/cancel or request background guarded undo. A working job queue is required.
- Reopen one of your five recent imports within 24 hours of upload. Undo restores a cost only while product identity, cost and import provenance still match; unrelated later product edits remain preserved.
- Save a named supplier mapping to reuse next time, up to 20 private mappings. Every new file still needs validation and explicit confirmation.

Review recorded fees together
Use supported locally recorded gateway fees as payment expenses after checking and approving your selection.
- Open Payment fees, choose a date range and preview the recorded fees. Nothing is changed by opening or previewing the page.
- For supported records, use official Stripe Gateway 10.x–11.x or PayPal Payments 4.1.3–4.1.x. Reconciled PayPal refund records subtract returned fees; incomplete or ambiguous refund records are skipped.
- For another gateway, import a verified UTF-8 CSV with exactly order_id,transaction_id,fee,currency, up to 5,000 rows / 1 MiB. Each reference must match the order’s saved transaction ID. Confirm final expenses, including refunds, already in reporting currency.
- Inspect amounts, currencies and skipped rows. Existing payment overrides, including zero, stay unchanged. Verify retained or additional refund fees against your own records.
- Select the eligible orders you checked, tick the confirmation and apply. Changes run in small batches; saved and skipped results are shown separately.
- If a request stops, reload its saved status before resuming. Guarded undo is available while the preview is retained and skips orders changed afterward. Run a fresh profit report after applying or undoing fees.
- For WooPayments 11.1.0 only, separately confirm a read-only provider lookup for an order. The installed merchant client sends the saved payment-intent ID. Only fully captured, non-refunded, non-disputed matching transactions with complete fee currency and zero fee tax are eligible; unsupported records remain for verified CSV or individual review.

Download a complete report pack
Keep matching order, product, category and trend tables from one completed report collection.
- Run a report and review its included and excluded order counts. If you selected a comparison, wait for both periods to finish.
- Choose Download complete report pack. The ZIP contains separate current and previous period folders when applicable, plus coverage, exclusions and report metadata. Advanced report filters apply to the pack; display search and table pagination do not change its retained contents.
- Use the order, product, category, weekly and monthly CSV files together. Check currency, precision, period boundaries and allocation exclusions before comparing totals.
- Export a completed Background report or a scheduled complete report from its owner’s administration page. Legacy reports without retained order details need a fresh run before a complete pack is available.

Review shipping and fulfilment costs
Replace estimates only with expenses you have verified against your own records.
- Open Shipping & fulfilment. Upload a UTF-8 CSV with order_id,reference,shipping,fulfilment,currency, up to 5,000 rows / 1 MiB. Use a non-personal business reference and amounts already in reporting currency.
- Preview, select and confirm the records. Shipping replaces its estimate; fulfilment adds a separate expense. Existing overrides are protected.
- Use guarded undo within one hour if needed; changed records are skipped. Review labels and rerun reports.
- For a ShipStation shipment export, use the local CSV helper with its exact eight headers and store name. Confirm final shipping expenses and zero separate fulfilment cost, then review and apply eligible orders separately. Returns, voids, multiple packages and identity conflicts exclude the entire order; no ShipStation API is contacted.

Trace and plan product costs
Read local cost history and explicitly schedule future per-unit landed costs.
- Open Cost history to see observed native changes, actor, source, time and before/after values. Unverified entries need review. History starts while Pro is active; direct SQL changes are outside its hooks.
- For a future cost, provide base, freight, duty, packaging and other per-unit amounts in shop currency, a reason and effective shop-timezone date. Preview and separately confirm.
- Changed product identity, currency, cost or permission stops the job. Jobs more than 24 hours late require a new preview. Cancel pending schedules when supplier plans change.

Keep and share completed reports
Retain useful snapshots privately and grant access to specific WordPress accounts.
- In Report storage, choose the expiry for new reports: 7, 30, 90 or 365 days. Optionally enable verified calculation reuse; changed and foreign-currency orders recalculate. Existing expiry dates stay fixed.
- Freeze a completed report as a dated snapshot. It preserves collected values, digest and existing expiry; fresh reports capture later refunds or changes.
- In Shared reports, confirm up to 25 existing account IDs or exact @usernames for a completed revision. Read-only viewers can inspect/download that revision. Remove recipients to revoke access.
